Affordable professional level accounting software for small business
It's been easier to use Xero than I expected, but I had a nasty surprise at tax time when I realized the default accounts/descriptions for expenses did not correlate 1:1 to IRS categories. (I should have checked this more closely when I set up my accounts because it's a New Zealand company, and the previous product was local.) This means I will need to double-check all my transactions for 2018 and the IRS has my vastly overestimated tax payment until I can do that and file my return on an extension.
I've had a much better experience importing data from financial institutions because Xero uses a well-known importing service that is trusted by the institutions.
I like being able to match multiple invoices to bank deposits because I usually don't run to the bank for each check. This will be more valuable as my company grows.
I should probably find an accountant to assist me with this, but I haven't found an accountant who understands both craft businesses and Xero.

Have not been able to import historic data from previous app (possibly because it's not double entry) so I am still paying the subscription on that software to retain access to my data
No integration with Craftybase, so I have to enter supply purchases and customer invoices there independently

Outright depends on importing data from financial institutions but they were extremely unreliable (apparently they don't use a standard importing service and my credit union kept flagging them as hackers for remote logins) and customer service kept giving me the runaround. It also isn't "professional" double-entry bookkeeping and can't be audited. Outright can't handle Cost of Goods Sold properly and requires manual workarounds. Overall I was really impressed with the Xero layout. Particularly the project management module was great in Xero. Pricing is good, and it offers many features more expensive solutions don’t.
Nachteile
Reports on purchases were a little different than expected, but I found a workaround. Wish I could customize reports with a report builder.

Overall this is nice for a business especially growth oriented business and it will make easy for the accountants as it has real time bank reconciliation. It enables work from home from personal laptop even as it is cloud based.

Great software for SMB
We came to Xero from Sage and has changed the way we manage our accounts, and helped the team be more productive.

customer service is great, even for an SMB like ours, we get good response times and knowledgeable people. the system is very easy to use and has great functionality for managing our sales and supplier invoices so that we can keep track of our cashflow accurately. Apps library is great and has everything that we need.

Expensive But Good
Overall it has saved time, mostly thru automation of bank accounts and bank rules. As with all software there is some frustration, but Xero are continually improving.
Vorteile
The software is easy to setup, easy to use, very transparent and well-supported by many accountants. It is designed with the end-user in mind, rather than the accountant. Depending on your package, it allows filing direct with IRD for GST and Payroll.
Nachteile
There is no phone support, only via a web portal. Some matters are not documented well in any of the Xero-supplied "how to" e.g. best practice for issuing dividends.

Worth The Hype

We started on a free trial, and I can say the hype of Xero is truly worth it. Our company is based in the UK, and we integrated payroll with our banking system to handle payments. Xero easily integrates with our company with our payee code and also connects to other payment systems, allowing us to automatically check for complaints with our staff.Xero covers all tax-related payments (such as national insurance and government tax) once you are fully integrated. Furthermore, Xero manages all aspects of accounting, payroll, and compliance in a single system, allowing us to directly report our finances and financial transactions to HMRC and the company.It's truly an all-in-one platform that is worth the hype.

Have a feature for companies with smaller transactions (startup plans).

Xero is Very good program
I have been using Xero for over a year now and I have been really happy with the service. The platform is easy to use and the team is always available to help. I have never had any problem with the software and I have never had to contact customer support. Overall, I am really happy with Xero.

Simple Accessible Accounting Software
Its really a nice accounting software, saves a lot of time for my business with the ease of creating invoice for my client and there are other features that are useful as well.

Easy to Implement and Manage Global Business, Low Customization Options
Kanopy has found Xero to serve its needs well, but ultimately we moved on and migrated to NetSuite years later. We still keep Xero though for 1 international subsidiary that we found to be advantageous not to migrate. The mature business with complex operations may not find all needs are met with Xero, especially if the desire is to integrate many other tools/software with the ERP in a bi-directional data flow.
Vorteile
Xero serves well as an "out of the box" accounting system, not unlike Quickbooks. It also has more functionality and use internationally, making it a superior choice to QB if your business operates on a global, multicurrency basis. There are some solid automations which can be implemented with Xero as well, and the canned reporting generally suffices for the majority of basic financial needs.
Nachteile
Xero lacks the open customization options that software like Netsuite or Dynamics offers. For a small business this will often be fine, but a scaling operation looking to automate many functions based on unique business needs may someday find they have outgrown Xero and need to undergo an (often painful) ERP migration.

Xero is an awesome bookkeeping and accounting software solution for startups and small business owners. It is indeed a good match for business owners who know nothing about accounting in order to keep their books and to properly manage their finances.
From my own experience, I found that Xero is very user-friendly and its accounting interface is streamlined, almost seamless, and uncluttered. The Demo Company is very useful as you can manipulate data without worrying about messing up vital information in your practice company.
Xero’s accounting dashboard shows the snapshot of your business (i.e., bank balances and reconciling items, outstanding invoices, and bills, accounts on the watchlist, etc.) and fully customizable depending on your needs.
Quickbooks had been the leader of accounting software for small businesses for quite some time but Xero is becoming more popular because of its competitive offering and value proposition. Xero’s starting plan is very affordable and you have the option to add-on some features depending on your need. It also offers a basic inventory and fixed asset management functionality in all of its plans, which is very cool! And the best thing about Xero is the unlimited users allowed to access the financial information.

XERO reconciliation is an issue
Overall, it's a decent program, with all the bells and whistles you'd expect from a cloud based accounting program. Unfortunately working without being able to reconcile monthly made life too difficult. And not many accountants work with it, so that made it difficult to have professional eyes on my accounting.

I loved how easy it was to integrate XERO with my bank accounts and Paypal. XERO seamlessly connected and kept my balances up to date. I also liked how easy it was to invoice clients and connect invoices to Paypal or Stripe.
Nachteile
Unfortunately, the reconciliation process in XERO is a no-go for me. Rather than the Quickbooks and standard approach, where you do a monthly reconciliation against a bank statement, XERO had no such function. Once an item was matched up to a bank transaction, it was considered "reconciled." No option to close out a month and double-check transactions. I went back to QBO to get that feature.

The BEST Small Business Accounting Platform
Having used Xero since 2013, I am yet to find a better product. The software and the overall company have never missed a beat. They are continually adding features (see Hubdoc integration, transparent, have competitive pricing, and connect accountants with business (refer to Xerocon events).
Vorteile
Xero has everything for startup companies and small businesses. Their software is 10 out 10 on user interface. It was born in the cloud and continues to exceed Quickbooks by a long shot. Most everything Quickbooks has added to its software in the past 10 years, is because Xero did it first.
Nachteile
The software does not have a tax add-on when compared to Quickbooks (Intuit). They are plenty of integrations to solve this issue but it would be nice to have. Integrating bill payment is more difficult compared to Quickbooks as well.

For example, if you import 500 transactions into Quicks incorrectly, you have to delete them all one by one. You can batch delete data in Xero. It's a lot of money to get setup with a certified consultant. Very few consultants available in Canada. When we did find one she was great but she bills you for every second she works. As in not any free advice. My lawyer is easier to work with.

As a former quickbooks user of about 20 years, it was a big deal to switch platforms. At first glance it looked like it would do everything we wanted. I loved the price point, the interface and relative ease of use. The multi currency was great as was the ability to integrate with Stripe. You make a lot of compromises to save on the huge monthly cost of quickbooks but there are workarounds.
Nachteile
There are so many things that are just common/must have's for any business. Things like progressive billing, job costing and even the ability to make your own journal entries are missing. We had to hire a consultant and spend around $800 just to get it to add purchases easier to the mix with HubDoc. You see job costing catagories at the invoice level but not software or 3rd party app to back it up. The single most annoying thing about it is the support. It's non existent. You complain, They tell you its not a problem and ignore your requests. I struggle daily with the search function. I can't get about 50% of my searches to work. The clients I'm looking for are entered. I'm typing them in fine but you often have to visit contacts menu and find them manually by quote number or just never ending scrolling. Upon complaining numerous times the best they can do is say "it might take up to two weeks for your contacts to sync. " Xero: It's 2020 and the dark ages of cloud software have passed. You need to fix the search function and add job costing to be considered a contender. So here we are in 2020, manually adding each of our sales to a spreadsheet and adding the subsequent bills to it to see if we made $. They make it incredibly hard to contact support and they are quite unresponsive when they do reply to your ticket. They try really hard to push you to support forums, where there are literally hundreds of complaints on the same issue with the ability to comment closed.

Xero has helped us transform and streamline our processes
Xero has streamlined our operations, and simplified our record keeping, and notification of when bills are due for payment or invoices due for collection. The dashboard is fantastic for an overall picture. The reporting tools are excellent, and the ease of use is so logical and straightforward, that it's simple l to self-teach even for a beginner. On top of that when you have any questions the how-to guides are thorough in themselves, and support is excellent and very quick to come back to you with an in depth answer.
Vorteile
The ease of use is fantastic, and a beginner is able to self-teach quite easily with the fantastic guides and webinars that are available from Xero. The support is also exceptional and I have always had my queries answered in great detail and very quickly.
Nachteile
My main issue was that I would like to be able to create different delivery addresses on invoices that have one invoice address but different delivery locations, as it's important to specify. To workaround we write it in the body of the invoice, however with previous systems we have been able to enter multiple delivery addresses, for one invoice address and select the required one each time.

Perfect Accounting Software - Nothing Comes Close
Xero changed the face of accounting for our business. It has made accounting work far less painful than it used to be. And the true cloud-based setup makes it so much easier to access from anywhere.

Ease of use - seriously. Nothing comes close. And trust me, I've tried a number of accounting software and they're all a nightmare to use unless you're an accountant.

Accounting Software Design for the Business Owner
Xero give me, an accountant, a tool to provide my clients with that effectively gives them a tool for keeping their daily records in an orderly fashion make my job easier at the end of each month.
Vorteile
Xero have been designed to be used by non-account business folks. However, once the data has been listed an accountant has a great tool to use to finish the company financial records (Monthly, Quarterly & Annually). It is also priced at a rate that works for most business owners.
Nachteile
I really do not know of any areas within the software that I can list as "Least" liked. I do not know of any significant problems which I believe need correcting.

Fully featured with API integration
We are using Xero as a general ledger for customers, recording transactional data to it in batches and recalling these for view on our own systems. We also use this for regular billing, chasing payments, and expense tracking from staff.
Vorteile
Xero is very feature rich and this is supported even further by the various additional third party services you can plug into Xero, such as receipt capture and upload or building your own app. The web functionality looks professional to use and the reports are simple to create and understand.
Nachteile
When using the API connectivity, there is a limit of 10,000 transactions a month which depending on the business size, can be hit quickly. Additionally, there is no option to upgrade to remove this limit.

The best at what it does
Full Disclosure: I am an accountant and I recommend Xero to many of my clients. When the expectations are in alignment with the capabilities of the software, then everyone is happy. People get into trouble with ANY software when they jump in thinking they know what it does and are then disappointed. All accounting and ERP software has limitations and Xero is no exception, but what it does, it does well. It provides payables, receivables, bank reconciliation and general ledger as its core functionality. There is a very capable estimating/quoting/order/ process that ties into AR invoices smoothly. But, the requisition/purchase/inventory side is very, very basic. In fact there are no requisitions and the purchase orders are so limited that I recommend you not use them. The inventory is only what is needed to make the sales side functional. So, if you need strong inventory support, you have to use a third-party add-on designed just for this purpose.
Vorteile
What is good about Xero are 1) Real-time bank feeds and bank reconciliation - this is what scared the pants off of Intuit and forced them to develop new functionality. 2) Xero fully embraces and enables third-party developers to provide niche solutions that have rich interaction with Xero. 3) The features keep getting better and better quarter after quarter. 4) Perhaps my relationship as a partner skews this, but I've had nothing but excellent support from Xero. I can call someone if I have to, but I almost always get issues resolved through technical support in a timely fashion.
Some of my favorite add-ons for Xero are GeoOp for field services, Deputy which integrates its scheduling, time and attendance functions with Xero payroll, and Float which projects cashflow. The new reporting and the tags are fantastic.
Nachteile
There are some features I would like to see "sooner," but they are on the roadmap for "later." People jump on Xero because of the price without having a Xero consultant evaluate their suitability for the application - that can create an expectation gap, and that inevitably leads to an unhappy customer. I just hate it when people let their wallet do their thinking for them and then blame the software because it "doesn't do enough."
The payroll is fine. I spoke to the VP in charge of payroll development and he is all about improving the functionality, so it will continue to improve. What is there now is very well designed to be comprehensive and flexible, but there are situations where a third-party payroll like Gusto will make more sense for your organization. They are the first ones to suggest you look at solutions like Gusto, ADP, Paychex and others that integrate seamlessly with Xero.
It is annoying that the tags are limited to two categories, and this won't be revised until they have their design for job costing completed. No word yet on when that will be.

I have been a Xero certified advisor for 8 years and actually returned the accounting profession because of Xero after deciding to leave because I felt the industry didn't understand delivering value to clients. Great design, intuitive, great support files and videos, invoicing features are very good, being able to add files to transactions is a big time saver, the fact that it is a full accounting system is great in its price range, although for more complex features you may need an add-on application for example full stock management and stock control.
Nachteile
The way the contacts database has been developed could be improved to make importing and exporting data easier, that has improved recently with the addition of client codes field. Also greater flexibility of controlling features a user can access would be great.

Fantastic! I finally have the tools from Xero to drive my company to its greatest potential.
Understanding the numbers! I'm finally educated about my own business, which sounds ridiculous, but so many business owners are creative dreamers that never look at the numbers. Even ones that are successful don't look at the numbers because they feel like it's not necessary - and that's the biggest lie in the world. It's so easy to share the reports with people at all levels in the company, and I feel a fantastic sense of control with the numbers because of Xero.
Vorteile
Cloud availability, choice between manual or automatic accounting, incredible reports, easy to print, beautiful, fun to use, don't have to be an accountant to use it, fantastic break-down of categories and overhead vs. cost of goods. Shows great percentages - growth overall, percentage of sales per category and percentage of expenses per category - easy to understand the nuts and bolts of your business with Xero and make quick changes to your business model when a problem arises.
Nachteile
Balance sheet leaves much to be desired - harder to figure out than the rest of the software and difficult to understand in conjunction with the profit and loss. It's not possible to see a comprehensive financial picture - perhaps what makes it so great for non-accountants is its simplicity makes it hard at times to get into the nitty gritty. The billing aspect of Xero is atrocious, just really, really bad. Invoices on "repeat" stay in a strange ticker until you command them to be sent, it creates a lot of problems. Definitely have a separate billing software if you use Xero, especially if your clients are on subscriptions. I wish it integrated better with a growth planning tool - integrates with CRMs fine but doesn't help you look into the next couple of years, or present a future picture to investors.

Vorteile
- Brilliant design and straight forward full accounting system yet detailed enough to allow user to create management reports.
- It allows direct bank feed letting the book-keepers not to worry about importing bank statements and processing detailed bank reconciliations.
- It also integrates with third party softwares to import direct feed which helps automation possible helps save time.
- It also offers partner programs for external book-keepers and accountants to work on different client books which is a new features other softwares have failed to offer.
- Great price.
Nachteile
- Payroll function is capable to deal with straight forward payroll matters. when dealing with complex calculation, Xero seems limited in its functionality.
- The tracking categories are limited to only two lists. It would have been great if it would have had an option to increase the number of categories to suit individual need.

Xero or MYOB?
Xero & MYOB. I love them both - for different reasons. If you're a MYOB lover, do not be afraid of the transition. Simply view Xero as different and you'll be fine. Don't expect to find things in the same dropdown tabs - as it's a different set-up. Once you're familiar, you'll love the ease of use.
Very user friendly, not overcrowded on your pages with too much writing, easy to see information (card files for clients) all on one page - very easy to read and find the information you're after.
Give Xero a try - I know you won't be disappointed.

Love the ease of access. We have a team based in Australia, India, & South America - so the online platform is brilliant.
As a previous MYOB user (& lover of MYOB), I was surprised with the ease of transition from MYOB to Xero.
I also really enjoy how easy it is to link client card files noting the company directors, primary contacts, banking details etc. Very easy to view all the information in one place! Love being able to send the BAS' from Xero as well with a click of the button, and being able to modify & tweak great templates is a MUST.
Nachteile
One thing that is very challenging, is if the Xero team are not getting back to you as promptly as you need, there is NO phone number to talk to someone. This (for the accounting industry) can be a big let down at times. Normally, the Customer Help is very prompt.
Still trying to find an adequate solution so that if I upload a file in my XPM, the rest of my team can view these files. Despite trying and following Xero's suggestions, my team members are still not able to view the documents I've uploaded. We'll get there in the end I'm sure.
